Position title – Administrative Assistant, Science and New Technologies Department (SNTD)

Salary: 2 000 Euros / month + benefits (salary exempt of French income tax, annual bonus)

Duration: 2-year contract – renewable according to performance


The World Organisation for Animal Health (OIE) is the intergovernmental organisation responsible for improving animal health worldwide. The standards it develops for the trade of live animals and products of animal origin are recognized by the World Trade Organization as reference international sanitary rules (

The OIE, then known as the « Office international des épizooties », was created on the 25th of January, 1924. Its Headquarters are based in Paris. It comprises 181 Member Countries and is present on all continents through 12 Representations or Bureaus in total.


Contributing to the objective of the Organisation to improve animal health and welfare throughout the world, the mission the Science and New Technologies Department (SNTD) is to collect and analyse, with the support of its 322 OIE Collaborating Centres and Reference Laboratories, the latest scientific information on animal diseases and to provide the scientific basis for OIE standards and guidelines.

Positioning and reporting

The Administrative Assistant will report to the Head of the SNTD, under the authority of the Deputy Director General in charge of International Standards and Science, and will work closely with the other administrative support staff in the Department.

Job purpose

The Administrative Assistant supports the daily administrative running of the SNTD, liaising with the rest of the Organisation and external parties to guarantee the smooth coordination of activities. The Administrative Assistant is also in charge of providing logistical support to the organisation and coordination of meetings managed by the Department.

Missions and activities

Provide general administrative support to the activities of the SNTD team:

  • Draft and manage letters, administrative documents and mission reports for the SNTD in respect of the relevant visual identity;

  • Manage filing and archiving of administrative and technical documents and update registers regularly;

  • Draft, proofread, manage and archive incoming and outgoing correspondence;

  • Manage the agenda of the Head of the Department and provide timetable management for the team’s agenda;

  • Follow-up on the activities of the team and provide updated dashboards as required;

  • Provide and update information contents for the team, including the contacts database (TIGER), such contact details of the ad hoc Groups, Working Groups, Specialist Commissions, and submissions to OIE webpages as needed;

  • Participate in the review and improvement of processes within the team.

Assist in the logistical management of events:

  • Follow-up and update the schedule of events for the SNTD;

  • Liaise with the relevant parties (staff from Regional Representations, Information Technology Unit, Events Coordination Unit, OIE Delegates…);

  • Coordinate the logistic organisation of ad hoc Groups, Working Groups, Specialist Commissions, or other events as assigned, including coordination of invitations, room-booking and equipment preparation;

  • Assist in the preparation and formatting of letters and working documents;

  • Participate in the collection and drafting of meeting outcome reports;

  • Participate in the production of the documents for the OIE General Session and oversee the translation of those documents.

Provide support to the preparation of technical documents:

  • Proofread and edit working documents, letters, and reports;

  • Format, prepare and circulate meeting or mission reports;

  • Provide updated dashboards of activities as required;

  • Format presentations, working documents and background papers;

  • Oversee and/or participate to the translation of letters, reports and other relevant documents and ensure quality control of external translations.

Qualifications and Experience


  • Undergraduate degree OR degree in administrative support;

  • At least 2 years of experience of administrative assistance with international exposure.


Technical skills

  • Strong computer skills in a Microsoft environment, including Word, Excel, Access, PowerPoint and Outlook, as well as a good knowledge of Adobe Acrobat;

  • Excellent proofreading and editing skills;

  • Excellent command of French and English, both written and spoken.

Additional competencies

  • Knowledge of the third official language (Spanish).

  • Capacity to work with multiple team members in a multi-cultural environment with sensitivity and respect for diversity;

  • Excellent communication skills;

  • Proven effective organisational skills and ability to handle work in an efficient and timely manner, defining priorities and meeting deadlines;

  • Capacity to work independently and to maintain flexibility in working hours.

Working conditions

This post requires long hours in a seated position at a computer. Periodic overtime may occur in the preparation of events.
